Cancellation Policy – Wildress Retreats

Wildress Retreats offers photography retreats that consist of multiple travel services purchased
separately by the participant. Because these services are booked and paid for individually, the
retreat is considered a combined travel arrangement rather than a package holiday. Each
third-party supplier is responsible for their own service, while Wildress Retreats has an obligation
to provide clear information but does not hold full responsibility for external services.
 

1. Reservation and Deposit

To secure a spot at any Wildress Retreat, participants must pay a non-refundable deposit. 

The deposit is deducted from the total course fee but is not refundable under any circumstances,
regardless of when the cancellation occurs.

This is consistent with the principle that travel providers may charge appropriate cancellation fees

2. Cancellation Rules for the Course Component (Wildress-Provided Services)
These rules apply solely to the services delivered directly by Wildress Retreats, such as workshops,
guiding, and activities included in the retreat program.

2.1 Cancellation Deadlines
 More than 60 days before the retreat start:
Refund of the course fee minus the non-refundable deposit 
 30–60 days before the retreat start:
50% refund of the course fee, minus the deposit.
 Less than 30 days before the retreat start:
No refund.

These cancellation levels follow the legal framework where fees may increase the closer the
cancellation occurs to the departure date, based on actual loss and the unique nature of the event.

3. Cancellation of Accommodation, Transport, and Other Third-Party Services
Wildress Retreats acts as a facilitator of a combined travel arrangement, meaning:
 Accommodation, transportation, and additional external activities are paid directly to their
respective providers.

Each provider’s own cancellation terms apply.
 Wildress Retreats cannot issue refunds for services that are not purchased through us.

Examples:
 Accommodation refunds follow the hotel's policy.
 Flights, trains, buses follow the transport company’s policies.
 External activities (e.g., local tours or add-on excursions) follow the provider’s policy.
This structure aligns with the definition of combined travel arrangements, where each service is
purchased separately even when part of the same trip.
 

4. Cancellation Due to Illness or Unforeseen Events
Wildress Retreats does not offer separate cancellation protection.
Participants are strongly encouraged to obtain comprehensive travel and cancellation insurance
to cover:
 Sudden illness
 Accidents
 Family emergencies

 Other unforeseen circumstances that might prevent participation
Unlike package holidays, combined travel arrangements are not required to include

5. Cancellation by Wildress Retreats
Wildress Retreats reserves the right to cancel the retreat if:
 The minimum number of participants is not met, or
 Unforeseen circumstances beyond our control make it impossible or unsafe to conduct
the retreat (e.g., natural events, serious local disruptions)
If Wildress Retreats cancels the retreat:
 The course fee will be fully refunded, except for the non-refundable deposit.
 Costs associated with third-party services (accommodation, transport, etc.) will be
refunded solely according to the providers’ own policies.
This reflects the legal distinction that Wildress Retreats is not financially responsible for services
outside our direct delivery within a combined travel arrangement.
 

6. Information Duty
Before booking, participants will receive clear, written information about:
 What is included in the retreat and delivered by Wildress Retreats

 What must be booked separately from third-party providers
 Who is responsible for each part of the retreat
 Whether a service is covered by any guarantee scheme or not
This fulfills the legal requirement for transparency in combined travel arrangements and ensures
participants understand how the retreat is structured.
